Bookings lets participants book one-to-one sessions with experts (hosts), such as mentors or interviewers. This guide shows you how to set it up, add your hosts and manage participants.
Open Bookings from the top bar of your platform dashboard. You'll see six tabs: Setup, Hosts, Participants, Sessions, Bookings and Feedback.
I. Setup
Start in the Setup tab, where you configure how bookings work. It has four sections: Settings, Messages, Host Form and Participant Form.
1. Settings
General Settings → Video Conference Integration: click Connect next to Google (Google Meet), Microsoft Teams or Zoom. One provider can be active at a time, so connecting a new one replaces the current one. To track meeting attendance, connect Google or Microsoft Teams. For Zoom, see Zoom App Integration.
Hosts: set default permissions for hosts, such as whether they can accept/reject bookings and whether a feedback form is sent automatically.
2. Messages
Set up the automatic emails that keep hosts and participants informed at each step of a booking.
3. Host Form
Choose the information hosts give when they register. Tip: describe your experts' roles to the AI Assistant and it will suggest questions.
4. Participant Form
Choose the information participants give when they register. The AI Assistant can help here too.
II. Hosts
This is where you manage the experts who lead your sessions.
A. The hosts list
Add a host: click Invite Host.
Let hosts sign up themselves: copy the registration link so hosts can enter their own details and availability.
Follow activity: the table shows each host's Status, Sessions, Participants, No. Sessions, Addition Date, Booking Date and Visibility.
Quick actions: use the Actions column or the toolbar to Star, Tag, add a Note, Send Message, Export, Reset Password or Send Instant Login.
B. Edit a host's profile
Click a host's name to open their profile, then use the sidebar:
Details: name, phone number, job title, years of experience and biography.
Availability: the days and hours the host can be booked.
Sessions: the session types the host offers and the feedback form used.
Settings: rules for this host only, such as turning off feedback forms or letting them accept or reject bookings.
III. Participants
Add participants: click + Add Participants.
Overview: see each participant's linked Programs, Addition Date and Booking Dates.
Engagement: see No. Rejected bookings, total Sessions and assigned Hosts.
Actions: Send Message, Book a session, Export or Remove.
Book a session for a participant: select the participant and click Book in the toolbar. In the Booking dialog, choose Book Host or Book Session, pick the host under Select Host and a time under Select Date and Time, then click Book.
IV. Sessions and bookings
To create session types and review feedback, see Managing Sessions, Bookings, and Feedback.
The Bookings tab lists every booked meeting with its hosts, participants, date and time, host status and session status. Actions include Force Acceptance, Cancel Session, Session Completed, Send Message and Export.
Good to know: you can also link bookings to a program round (the round's Bookings page), for example for interview or mentorship rounds.
