Participants can always join through your program page, and you can also invite people directly. Here's how to send invitations and keep track of who has joined.
I. Send invitations
A. From a round
Open your program and click the round's tab.
Click the Participants tab.
Click + New participant. The Invite Participants dialog opens.
Choose how to invite:
Invite a single participant: enter First Name, Last Name and Email.
Invite multiple participants: add a list by hand or upload a CSV.
Invite participants from other programs/rounds: bring in people who took part elsewhere on your platform.
Invite all platform participants: invite everyone registered on your platform.
Tick any options you need (see below).
Click Add.
B. Options
Assign to a submission track: pre-assign the participant to a track (for example "Fintech Solutions"). You can change it later with Assign Track in the toolbar.
Don't send email invitation: add people to the round without emailing them.
Customize Invitation: write your own message for this invitation. It replaces the default Participant Invitation template from the round's Messages tab.
C. Add someone straight into a later round
Someone didn't submit in round 1, but you want them in round 2 (or any later round)? Add them directly to that round. They don't need a submission in an earlier round.
Open your program and click the later round's tab (for example 2 Assessment).
Click the Participants tab.
Click + New participant.
In Invite Participants, choose Invite a single participant or Invite multiple participants. To bring in people from round 1 or another program, choose Invite participants from other programs/rounds.
Tick Assign to a submission track if the round uses tracks, and Don't send email invitation if you'd rather not email them.
Click Add.
They now appear in that round's Participants list. Their Status shows Not Applied until they submit in that round.
D. Round invite or platform import: which one?
Adding people to a program or round (including round 2 or later): always use the round's Participants tab → + New participant, as above.
Creating platform accounts only (for example, moving your community over from another system): go to Gear icon → Users → Participants and click Import participants. You can upload a CSV / XLSX file or bring people in from Managed platforms.
Importing participants to the platform doesn't put anyone into a program or round. If you import people and want them in a round, you still need to add them from that round's Participants tab (for example with Invite all platform participants).
Good to know
Invited people receive their participation message once the program is published. Publish your program first if you want invitations to go out straight away.
II. Manage the participant list
The round's Participants tab shows each person's ID, email, tags, number of submissions and drafts, submission date, signup date, assigned track, status, and any profile fields (for example phone, country or CV).
Toolbar: Add Star, Add Tag, Send Message, Export, Assign Track and Remove.
Search and filter: search by keyword or use + More filters.
Customize the table
Click Table settings (gear icon).
Choose the columns to show or hide.
Tip: to collect extra details such as phone number or country, add them as profile fields in Gear icon → Users → Custom Fields. They then appear as columns here.
What's next?
Next, invite evaluators for the evaluation phase.
