Creating and Configuring Surveys

Create, configure, and share standalone forms to collect data and manage feedback independently of your program workflows.

Surveys are standalone forms you can share with anyone: participants, evaluators or the wider public. Use them to collect feedback, registrations or any other information, separately from your program rounds and judging.

Good to know: survey responses aren't part of a program's judging. If entries need to be evaluated, use a program round or a submission track instead.

I. Open Surveys

  1. In your platform dashboard, click Surveys in the top bar.

  2. Review your surveys. The list shows each survey's views, submissions, drafts, conversion %, dates and visibility, plus a Close/Open switch and a Copy URL button.

  3. To create a survey, click New Form.

II. Set up the basics

  • Form Title: the name respondents and admins see.

  • Slug: the unique end of the survey's web address (your-platform/external-forms/slug).

  • Description: a short explanation of what the survey is for.

III. Configure your survey

Each survey has six tabs: Settings, Messages, Form Builder, Submissions, Participants and Analytics. At the top right you'll find Invite Participants, a share icon and the publish switch.

1. Settings

  • Title and slug: change the name or address at any time.

  • Description: edit the introduction.

  • Start Date and Deadline (optional): choose when the survey accepts responses, or leave them empty to accept responses at any time.

  • Allow Multiple Submissions: let people respond more than once.

  • Select Program (optional): link the survey to a program.

  • Visibility: choose who can view and fill in the form.

When you're done, click Save.

2. Messages

  • Submission confirmation: customize the email people receive after they submit.

  • Auto-send and attach a copy: automatically email respondents a copy of their answers.

3. Form Builder

Build your questions with the drag-and-drop builder. Its tabs are Designer, Preview, Logic, Code Editor and Translations. To get started faster, try Use template or the AI Assistant. Your changes save automatically.

4. Submissions

See every response as it arrives, switch between Submissions and Drafts, and export the data. See Managing Survey Submissions.

5. Participants and Analytics

See who has been invited or has responded, and view response statistics.

IV. Share your survey

  1. Turn on the publish switch.

  2. Copy the link with Copy URL (in the surveys list) or the share icon, and share it.

  3. To email specific people, click Invite Participants.
