Once your program is live, you'll want to send your own updates to groups of people, such as everyone who's qualified or everyone who hasn't submitted yet. This guide shows you how to filter, select and email them in a few clicks.
Automatic messages are different: they go out when something happens, for example when a participant submits or an evaluator is invited. To set those up, see Setting Up Automated Communication and Email Templates.
Where to send from
You can send messages from a round's Participants, Submissions or Evaluators tab, or from Gear icon → Users.
Step 1: Filter
Search by name or keyword.
Use the quick filters (for example Tracks, Tags, Evaluators or Read Status) or + More filters. For example, you can find qualified participants, people who signed up but didn't submit, people with several submissions, or evaluators with nothing assigned.
In the Submissions tab, use Advanced to filter by answers to form questions.
Step 2: Select
Tick the people or submissions you want, or tick the box in the header to select all results.
Step 3: Send
Click the Send Message (envelope) icon.
Enter a Subject and write your email in Content.
Add Short Codes (for example the person's name) to personalise it.
Optionally, use Select additional recipient to add another recipient.
Click Send.
Check what was sent
To see every email sent and its delivery status, see Checking Which Emails Were Sent (Email History).
Attachments
Tip: to share a file, upload it somewhere your recipients can open it, then add the link to your message.
What's next?
Next, see Using Chat Support to talk with participants and evaluators in real time.
